AI Staffroom ("we", "us", "our") is an Australian education technology company registered in New South Wales, Australia (ABN 92 368 787 395). We build AI-powered productivity tools designed specifically for Australian teachers.

This Privacy Policy explains how we collect, use, store, and protect personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).
Service continuity: In the event that AI Staffroom is discontinued, users will receive a minimum of 30 days' written notice via email. During this period, any user may request a full export of their saved data (resources, scope & sequence plans, teaching programs, and profile information) by emailing hello@theaistaffroom.com. Exports will be provided in CSV format within 14 days of request, at no cost.

We collect information directly from you when you create an account, use the service, or contact us. We also collect limited technical data automatically when you use the website.
The AI Staffroom is designed for teacher use only. Our prompts, tools, and workflows are built so that no student names, IDs, health details, welfare notes, or other personally identifying student information are entered into, transmitted through, or stored by this service.
Active sensitive-data detection. As an additional safeguard, The AI Staffroom runs an automated check before content is sent to any AI tool. It scans your typed text, document attachments (PDF, Word, plain text), and — using on-device text recognition (OCR) — image attachments for likely student names, identifiers, labelled dates of birth, and health/NCCD-related information, and warns you so the information can be removed first. These checks run on your device: nothing is transmitted to perform the check, and flagged content is never logged in a readable form.
You control it. Teachers on individual plans can manage which checks run under Settings → Sensitive Data. On our school/enterprise plan, these controls are managed centrally by the school's IT administrator and cannot be disabled by individual staff, so the school can enforce a consistent data-protection policy. Every check is enabled by default.
This automated check reduces the risk of accidental disclosure but does not replace professional judgement. You remain responsible for ensuring you do not enter student personal information into any AI tool, including AI Staffroom. Our Safe Use Guide explains this in detail.

When you generate content using AI Staffroom, your prompt text (which should contain no student personal data) is sent to a third-party large language model provider (currently Anthropic Claude or similar). This provider processes the prompt and returns a response.

We select third-party providers carefully and require that they implement appropriate security measures. We do not authorise third parties to use your data for their own marketing or commercial purposes.
Your account data and saved resources are stored in Supabase, which uses AWS infrastructure in the ap-southeast-2 (Sydney) region. This means your data is held in Australia.

The AI Staffroom is designed for use by teachers and school staff. It is not intended for use by students or minors. We do not knowingly collect personal information from individuals under the age of 18.
If you believe a minor has created an account, contact us at hello@theaistaffroom.com and we will promptly delete the account.
We may update this Privacy Policy from time to time. When we make material changes, we will update the "Last updated" date at the top of this page. We may also notify you by email or via a notice on the website.
